Configuring Your PSA Integration

Common steps for mapping company types, importing companies, and syncing configurations after connecting your PSA to Strategy Overview.

Once you've connected your PSA using the individual setup guide, the steps you follow inside Strategy Overview are largely the same regardless of which PSA you use. This article walks through those common configuration steps.

Step 1: Create API credentials in your PSA

Each PSA requires you to create an API user or application with specific permissions so Strategy Overview can read (and in some cases write) data. The exact steps are different for each PSA and are covered in the individual setup guides:

Step 2: Add the integration in Strategy Overview

  1. Go to Settings > Integrations > Add Integration

  2. Select your PSA from the list

  3. Enter your API credentials (the fields vary by PSA - server URL, API key, client ID, etc.)

  4. Click Add Integration

Note: If your PSA environment requires IP whitelisting, make sure you've added the Strategy Overview IPs before this step. See the IP Allow List article.

Step 3: Map Company Types

Company Types define what kind of client a company is (e.g., Client, Prospect, Former Client). When you enable Company Types sync:

  1. Enable Company Types sync with your PSA

  2. Map your types - Strategy Overview and your PSA may use different names for the same thing. For example, if you call clients "Client" in Strategy Overview and "Customer" in your PSA, map them together. Your PSA's name will take priority.

  3. Click "Create Unmapped" to automatically create any PSA types that don't exist in Strategy Overview yet and auto-map them

  4. Save

You can also skip this step if you'd prefer to only sync the types that come with your imported companies.

Step 4: Map Markets (ConnectWise only)

If you're using ConnectWise PSA, you can enable Markets sync. The process is the same as Company Types: map your existing markets, create unmapped ones, and save. ConnectWise's market names will take priority over Strategy Overview's.

If your PSA doesn't support markets, manage them in Settings > General > Markets within Strategy Overview.

Step 5: Map Company Statuses

Enable status sync so your active/inactive companies stay consistent between systems. Most PSAs have a simple active/inactive model. Map them accordingly and save.

Step 6: Import Companies

This is where you bring your client list into Strategy Overview.

  1. Click Import Companies

  2. Filter by Type - Select only the types used for your managed clients. Don't import leads, vendors, or inactive companies. Keep Strategy Overview focused on the clients you're actively doing strategic work with.

  3. Filter by Status - Usually you only want Active companies

  4. Click Load Companies to see the available list

  5. Select the companies you want to import. If a company already exists in Strategy Overview with the exact same name, it will attempt to auto-map. Otherwise, map them manually or click "Create Unmapped" to create them.

  6. Save Mapping

Best practice: Import only managed clients that are in active strategic planning. You don't want to clutter Strategy Overview with every company in your PSA.

Step 7: Import Configurations (Technology data)

Configurations from your PSA flow into Strategy Overview as Flexible Items within the Technology Module. Each configuration type (workstations, servers, firewalls, etc.) becomes a Flexible Item Group. This is where your vCIO team will review and manage technology data across all clients.

Start simple. You don't need to import everything on day one. Bring in the core asset types that matter for your vCIO conversations - typically workstations, servers, firewalls, switches, and WAPs - and only the fields you actually need for strategic planning. You can always add more types and fields later as your process matures.

If you're also using a data integration such as IT Glue, pick one source of truth per data type. Importing the same type from both sources will create duplicates. Most MSPs bring physical assets (workstations, servers, network devices) from their PSA and use IT Glue for documentation types like domains, SSL certificates, and Flexible Assets, but it depends on where your data is most complete and accurate.

  1. Enable Configurations sync with your PSA

  2. On the Fields Selection tab:

    • Fields to download: Select the configuration fields you want to sync. Focus on the fields important for your vCIO process; you can add more later.

    • Fields to map: Map your PSA fields to Strategy Overview's special fields:

      • Serial Number: Required for warranty lookups

      • Purchase Date: Used to calculate the Age column (install date works if you don't have purchase date)

      • Expiration Date: Used by the Warranty Service to update expiration dates

      • RAM: Maps to the SmartMemory column type

      • OS Type: Maps to the SmartOS column type

      • Manufacturer Name: Used for warranty lookups

    • Click Save mapping

  3. On the Configuration Selection tab:

    • Mapped Companies: Select "All" so new companies automatically get their configurations

    • Types: Select the asset types that matter for strategic planning. Workstations, servers, firewalls, switches, and WAPs are usually the essentials to start with.

    • Statuses: Select "All" (you can filter inactive devices later)

  4. Click Import Configurations

If a field you need isn't showing up in the mapping dropdown, make sure you selected it in "Fields to download" first. Some PSAs also have field-level permissions that can block API access. For example, Autotask has a "Protected" setting on User-Defined Fields that must be unchecked. See the setup guide for your specific PSA for details.

Additional data like additional configuration fields (including custom fields), and other asset types can enrich your technology assessments and make your client conversations more valuable. Additional fields can also be used to improve the AI analysis of the assessment.

There's no rush to bring it all in at once, though - get comfortable with the basics first, then layer in more data as your team's process grows.

Step 8: Set up Contacts (if supported by your PSA)

  1. Enable Contacts Integration

  2. Select which companies to sync contacts for

  3. Filter by contact types and statuses you want to sync

  4. Select the fields you want to download

  5. Optionally configure custom field filters for additional conditions

After importing, go to Settings > Contacts to connect contacts to your template and configure which columns display.

Step 9: Configure Ticket Permissions (ConnectWise only)

Ticket integration is available for ConnectWise. Once your tickets are flowing, see the ConnectWise Ticket Permissions article to control which users can see specific service boards, ticket fields, and notes.
