Set Up Your Team

Add your team, choose their roles, and give each person access to the right clients and templates.

For admins. Needs the Administrator or Manager role. Managers can manage every user except Administrators.

Put your clients in groups and turn on your modules, then add the people who'll work in your account and give each one the right role, the right clients and the right templates.

Putting your clients in groups

Groups are the usual way to decide who sees which clients: you put companies in groups, then give your users those groups. Every company sits in one or more groups. Groups are also the filter on the Companies, Strategy, Schedule, Stack and Plans screens, so you can look at one segment of your clients at a time.

Rename the groups you have, or add your own in Settings > System > General > Groups, by tier, vCIO, territory or however you run your MSP. A company can be in several groups at once. New companies that come in from your PSA are added to your Integration Group, which you chose in Connect Your Integrations.

To put your companies in groups:

  1. On the Companies list, tick the companies and click Edit.

  2. In Field choose Groups(add), pick the group in Value, and save.

Choosing the modules everyone sees

The modules down the left-hand side are set for the whole account, so turn on the ones you'll use before you add your team. In Settings > System > Modules (Administrators and Managers only):

  • Tick Active to turn a module on for everyone, or untick it to hide it for everyone.

  • Click a module to rename it or change its icon, for example to call Technology what your team calls it.

  • Drag modules to reorder them within their section.

Then each user's Modules setting picks which of the active modules they see, so you can keep someone's menu simple. Administrators always see every module.

Adding your own modules

You can add your own modules to the left menu for anything web-based your team or clients use: a dashboard, a request form, your billing portal or your policies. In Settings > System > Modules, click Add Module, give it a Label and an Icon, and pick its Type:

  • External Content: a Link to a web page. Choose how it opens under Opening. Internal keeps people inside Strategy Overview.

  • Embedded Html: paste the embed code a tool gives you, such as a reporting dashboard or a form, and it shows right inside Strategy Overview.

Pick who sees it under Users, then click Add. Rename it to whatever your team calls it, such as Resources or Dashboards. To put a link or embed inside a Report instead, add an External Content or Embed Content Part to your template.

Choosing a role

The role decides what someone can change:

  • Administrator: the account owner. Sees every company and every setting.

  • Manager: runs the account day to day and manages every user except Administrators.

  • Builder: builds your templates and Assessment.

  • Editor: your vCIOs, working in client data and Reports.

  • Read Only: team members who only need to view.

  • Billing: your bookkeeper or office admin. Billing users don't get company, template or module access.

  • External Client - Editor and External Client - Read Only: your client's point of contact or staff, for the client portal. See Setting Up the Client Portal.

Adding a team member

Each team member gets their own sign-in:

  1. Go to Settings > System > Users and click Add.

  2. Enter their name, email and time zone, and pick their role.

  3. Under Groups, pick at least one group, usually the groups whose clients they work on. Then tick Allow Access For All Companies From Selected Groups so they can see every client in those groups.

Important: Picking a group doesn't give access to its clients by itself. Either tick the box, or leave it unticked and pick their companies one by one under Companies.

  4. Pick their Templates and their Default template.

  5. Pick the Modules they should see, then save. This one is easy to miss, and anything you don't pick won't be in their menu.

They get an invitation email. Its link opens the sign-in page with their email filled in. They click Set or reset my password, enter the code that's emailed to them, and choose a password. If MFA is on, which is the default for new users, a second emailed code confirms their first sign-in. After that, they sign in with their email and that password, and they land in Strategy Overview.

If the email doesn't arrive, check their junk or quarantine folder, then ask our team in the chat in the bottom right.

Giving access to the right clients

Administrators see every company. For everyone else, there are two ways to give access, set in each user's Company Permissions:

  • By group, the usual way: pick their groups and tick Allow Access For All Companies From Selected Groups. They see every company in those groups, including new ones as they're added. Use this for your team.

  • Company by company: leave the box unticked and pick their companies under Companies. They see only those companies, and their groups are just for filtering. The Companies list only offers companies in the user's groups, so pick their groups first. This suits client users, who should see only their own company.

Adding profile images

A profile image, or headshot, shows on the User widget in your Reports (PDFs included), on Goal owners and in user lists, so add one for everyone. Each user can add their own under Settings > Your Information, or an admin can add one from the user's page once the user is saved.

Who leads each client

The person who leads each client isn't set on their user. It's set on the Schedule for each client, and it can differ by template and year. Until it's set, the User widget on that client's Reports shows "None". You'll set it in Set Up Your Schedule.

Common questions

Why can't my new user see any clients?

A user who can't see any clients is usually missing a group or the access inside it. Open them in Settings > System > Users and check they have at least one group, plus either Allow Access For All Companies From Selected Groups ticked or their companies picked. Administrators always see every company.

Why do I get an error when I add a user?

An error when you add a user means that email address already has a Strategy Overview sign-in. "A user with this email already exists in MSP." means the person is already a user in your account, so search your Users list. "Invalid input model." means the email belongs to another Strategy Overview account, such as their own trial. Ask our team in the chat in the bottom right to move them.
