What Arya Knows When She Answers
When you ask Arya to fill in Status or Grade, she works with more context than just your asset data. For every item she evaluates, Arya pulls in:
The item name ("Domain Controller," "MFA Status," "Endpoint Protection," etc.)
The item description, your internal explanation of what the item is evaluating and why it matters
The Health Standard, your definition of what a healthy result looks like for that item
Related Items, the actual Flexible Item data connected to the question (servers, workstations, licenses, etc.)
Arya knows what type of question she's answering before she starts. The item name and description give her the intent, the Health Standard gives her the benchmark, and the Related Items give her the client-specific data to compare against.
Related Items are essential. Without them, Arya has no client data to work with and will default to "Needs Review" on Status. The more complete your Flexible Item data is, and the more specific your item descriptions and Health Standards are, the more accurate her output will be.
The Recommended Workflow: Status First, Then Grade
Arya's Status and Grade functions are designed to work in sequence, and the order matters.
Start with Status. When you ask Arya to fill Status, she looks at the Related Items for that question and generates a plain-language summary of where the client stands. She uses the item name, description, and asset data together to write a status that reflects what's actually in the client's environment.
Then run Grade. When you ask Arya to fill Grade, she evaluates the current Status text against your Health Standard and selects the appropriate grade. Running Grade after Status means she's comparing your standard against an accurate, data-backed picture of the client's environment, which is what produces a reliable grade.
Running them in this sequence, Status to build the picture and Grade to evaluate it, is how you get the most consistent output from Arya.
Two Ways to Use Ask Arya
You can use Arya on individual items or across many items at once.
Individual items. Each assessment item has its own Ask Arya buttons, one per column (Status, Grade, Risk, Solution). Click the button for the column you want to fill. Arya processes that item and updates the field directly. This works well when you're working through an assessment item by item, or when you want to refine a specific question after a bulk run.
Bulk multi-select. Select multiple items using the checkboxes, then click Ask Arya at the top of the assessment. Choose which columns you want Arya to fill across all selected items. Arya processes them in the background and sends a notification when results are ready. You can keep working in the platform while you wait. When the notification comes in, review each suggestion side by side with your current data before applying. You can apply all at once or pick specific items.
The bulk workflow is the most efficient way to baseline a new assessment. Individual buttons are best for fine-tuning after the initial pass.
Step-by-Step: Bulk Workflow
Connect your Related Items. Click the gear on an item or edit the template item in Settings and select the Flexible Item Group relationship. This connects your IT Glue Flexible Items or PSA Configs to the assessment question. Arya needs this data to generate accurate results on Status.
Select assessment items. Choose one or more items you want to update in a Strategy Report with "Open" status.
Pick the fields for Arya. Select the columns you want Arya to fill. Run Status before Grade for best results.
Wait or continue working. You can wait for results or keep working elsewhere in the app. A notification appears in the top-right when Arya's suggestions are ready.
Review suggestions. Open the notification to see Arya's proposed updates. Compare them side by side with your current data. Apply all at once or select specific items to apply individually.
Confirm your results. Click the report name at the top of the notification to jump directly to that report and review the final output.

We use the OpenAI GPT-4o model.
Once the answer is generated, the thread on the AI side is immediately terminated.

Note: We feed only the first five columns into the AI, according to your sort order from the "Related Items" section, to increase processing speed and surface the most relevant information.
Custom Prompt Calibrations
If you want to improve Arya's output, the two most effective levers are column descriptions and grade logic:
Column descriptions: Settings > Templates > [Your Template] > Parts > Assessments > Columns > Column description. Or click "Columns" on a report, click "column type," and use Edit Description in the popup.
Grades logic: Settings > Templates > [Your Template] > Parts > Assessments > Grades > Edit grade legend.
What Logic Arya Uses to Fill in the Columns
Status column: Arya analyzes the item name and description to understand what's being evaluated, then reviews Related Items to generate a concise, accurate status. If an item has no Related Items connected, Arya has no client data to work with and will return "Needs Review." Set up your Related Items before running Arya on Status.
Grade column: Arya evaluates the Health Standard and grade description, then reviews the current Status (or the Status just generated by Arya) and selects the most appropriate grade. This is why running Status before Grade produces the best results. When Arya selects a grade, the field updates directly on the item. If the grade does not match your expectations, the most common cause is a Health Standard that is too general. The more specific it is, the more accurately Arya can evaluate against it. Arya always skips "Hidden" grades (grades unchecked for Display mode).
Risk column: Arya compares the final item status with the Health Standard. If the status matches the Health Standard, there are no risks and Arya leaves this field empty. If you want to populate this field regardless, trigger Ask Arya specifically for the Risk column and it will always fill in, regardless of health status.
Solution column: Arya examines the Status and Health Standard. If the item is healthy and has no risks, Arya leaves the Solution field empty. Otherwise, Arya generates a solution based on the gap between the status and the standard.
