The Schedule Module is an extremely valuable planning and capacity tool. It visualizes your Report dates across all your companies in a calendar-style grid, giving you a complete picture of your TSM cadence for the entire year. At a glance, you can see which clients have been met with, which meetings are still open, and where gaps exist.
The Schedule view
The Schedule displays each company as a row with key information: the assigned vCIO, the company's Grade and Health Score, how many TSMs are planned per year, how many have been completed so far, the target months for meetings, and then a month-by-month calendar grid spanning Q1 through Q4.
Reports show up in the calendar with color coding:
Green cells with a date mean the TSM has been completed
Yellow cells mean a Report is open but hasn't been completed yet
"Future" labels indicate upcoming planned meetings
"None" cells mean no Report exists for that month
This gives you an immediate visual of who's getting attention and who isn't.
Setting up the Schedule for each client
For each company, you can configure:
Per Year — How many times you plan to meet with this client annually (e.g., 4 for quarterly, 2 for semi-annual)
Target Month — The specific months you plan to meet, selected from a dropdown organized by quarter. For example, you might check Jan, Apr, Jul, and Oct for a quarterly client.
These settings lay out the full year for each vCIO so they know exactly when every client engagement is expected.
Capacity planning
The Schedule is built for capacity planning. The Per Year and Total columns give you a quick numerical count of how many TSMs each vCIO needs to deliver for the year and how many they've completed so far. You can look at this by client, by quarter, or across the entire year to make sure your team isn't overloaded and that every client is getting the right amount of attention.
Yearly Schedule Migration
At the start of a new year, you can use the Yearly Schedule Migration button to carry your schedule forward from the previous year. This saves you from having to reconfigure target months and frequencies for every client. Once migrated, you can make adjustments for any clients whose cadence has changed.
Filters
The Schedule includes filters for Template, Year, Users, Groups, Markets, Company Types, and Report Statuses. This lets you slice the view however you need, whether you're looking at a single vCIO's workload, a specific market segment, or just the clients with open Reports.
Who uses the Schedule
The Schedule is essential for vCIO managers who oversee multiple team members, but it's also valuable for anyone involved in scheduling TSM meetings. If the vCIO has a coordinator or dispatcher who helps book meetings, the Schedule gives that person a clear view of what needs to be booked and when, making sure nothing falls through the cracks.
Note: Companies with a Type that has the "Prospect" checkbox checked won't appear in the Schedule, keeping the view focused on active clients.
