Set Up Your Schedule

Set who leads each client and how often you meet, and carry the schedule into the next year.

For team leads. Editing the Schedule needs the Administrator or Manager role.

The Schedule shows every client's Reports for the year in one grid: who leads each client, how often you plan to meet, and whether each meeting happened. Set it up once, then use it to see at a glance who's getting attention and who isn't. The client lead also shows on the User widget on their Reports.

Setting the lead and how often you meet

Set this once for every client, then adjust as clients change:

  1. Open the Schedule module and pick your Template and Year in the filters.

  2. For each client, pick the person who leads them in the lead column. Its header is your template's Primary User label, vCIO by default.

  3. Set Per Year to how many Reports you plan (0, 1, 2, 4 or 12). The Target Month cells fill in to match, such as one per quarter for 4. Change them if you meet in other months.

To set these for several clients at once, tick them and use Edit at the top of the Schedule. On the Companies list, Set template primary user does the same for the lead.

Reading the grid

Each row is a client, with their lead, Grade and Health, Per Year, Total and Target Month, then a cell for every month:

  • A date in yellow: an Open Report. Click it to open the Report in a new tab.

  • A date in green: a Completed Report.

  • A date in grey: an Archived Report.

  • None (red): a Report that was due and doesn't exist.

  • Future: a target month still ahead.

  • X: outside the client's start and end dates.

Target months have a green border. Total counts the months with a Report, Open ones included, and turns green once it reaches Per Year.

Seeing how the team is tracking

The footer adds up the year: the number of clients, average Health, total Reports planned, and the share completed, by month and by quarter. Hover over a month to see how many Reports were targeted, how many are Open and how many are Completed. To see one person's workload, filter by Users. You can also filter by Groups, Markets, Company Types and Report Statuses. The Report Statuses filter also decides which Reports count toward Total, Health and Grade.

Carrying the schedule into next year

At the start of a year, click Yearly Schedule Migration, pick the Source Year and Target Year, and click Migrate. It copies the leads, Per Year and Target Months for that template, so you don't set every client up again.

Good to know

  • To clear the lead for a client, tick it and use Edit with the lead left empty.

  • A Report counts in the month of its Report Date, even outside the target months.

  • A client with no schedule set yet still shows, with Per Year at 1 and no target months.

  • A client doesn't appear if its company status has Hide Company ticked, or if every Company Type it has is marked Prospect.

  • Each row has Add report to company, so you can start the next Report from here. Administrators, Managers, Builders and Editors can use it.
